Freight Estimate

Sometimes you need a freight number today, for a budget, a customer or a decision. A good estimate starts with a few details and the right mode. ExpeditedFreight.com estimates and confirms expedited ground and air freight, so the number turns into a plan.

FREIGHT ESTIMATE

A Freight Number You Can Plan Around

A budget, a customer price or a choice between ground and air often waits on one figure: what will this shipment cost to move? A rough number from a rate table can be far off once the real weight, the vehicle and the deadline are known.

ExpeditedFreight.com gives estimates for expedited ground and air freight based on the lanes, weight and timing you have now. When you are ready to ship, an expeditor confirms the quote, books the truck or flight and tracks it to delivery.

Estimates are most accurate when the details are close to real. Rough weight, pallet count, pickup and delivery ZIP codes and the date the freight must arrive are usually enough to start. The closer those are to the final numbers, the less the price changes when the quote is confirmed.

The vehicle is one of the biggest drivers of an estimate, and the three options below cover most expedited shipments. The page then explains the difference between an estimate and a quote, and what moves the number.

LOWEST-COST DEDICATED TRUCK sprinter-vans

Sprinter Vans

A cargo van carries up to 3,000 lbs and usually costs the least per mile of any dedicated vehicle. It suits parts, cartons and a few pallets. It is a good starting point when you need a quick number for a small, urgent load.

MID-SIZE LOADS large-straight-trucks

Large Straight Trucks

A 22 to 26 ft straight truck takes up to about 9,000 lbs. It is often cheaper than a full trailer when the load does not fill one. Many have a liftgate, which avoids extra charges at sites without a dock.

Estimates plan, quotes book

An estimate gives a budget figure, while a quote is a firm offer for a specific shipment.

Freight estimate Estimate vs quote

Getting a freight estimate

Whether your priority is a budget, a customer price or a choice of mode, a freight estimate is a practical place to start. It gives you a working number from a few basic details.

An estimate and a quote are not quite the same. An estimate is a budget figure based on the information you have now, such as the lanes, rough weight and timing. A quote is a firm offer for a specific shipment on a specific date, based on measured details. Estimates help you plan, while quotes are what you book.

You can get either quickly, and an estimate becomes a quote once the details are measured.

Estimates move with the market

Distance, weight, mode, timing and handling set the number. Fewer trucks means higher rates.

Cost drivers What moves the number

What moves the number

When a single figure isn't the right fit for every shipment, understanding what moves the number might be the answer. The same few factors drive almost every freight estimate.

Distance comes first, though longer trips do not cost more in a straight line. Weight and size decide how much of a vehicle the freight uses. The mode matters, since shared services cost less than dedicated vehicles and air costs most. Timing changes the price too, because faster service means a dedicated truck or a flight. Special handling, such as a liftgate or a residential delivery, can add to it.

The market itself moves estimates as well. When fewer trucks are available, the same shipment costs more, which is why an estimate from last month may not hold today.

How it works

From estimate to delivery

An estimate is the first step in a short path to a delivered shipment. Each step is confirmed with you, so the number and the plan stay clear. Most shippers move from estimate to booking in one conversation once the details are ready.

  1. 01

    Enter basic details

Share the pickup and delivery areas, the rough weight and size, and when the freight needs to move. A rough figure is fine at this stage, as long as you say it is an estimate.

    • Lanes
    • Weight
  2. 02

    Receive the estimate

Get a working figure and a suggested mode, useful for budgeting or comparing options. Ask for a second mode too, so you can see what speed would cost for this shipment.

  3. 03

    Add full details

Add measured dimensions, scale weight, pallet count, site details, ready time and deadline for a firm quote. Note any dock, liftgate or residential delivery, since each changes the vehicle.

    • Dimensions
    • Deadline
  4. 04

    Confirm and book

Confirm the quote and receive a rate confirmation with the vehicle, pickup time and price. Nothing is dispatched until you have agreed the rate in writing.

    Pickup and tracking

The freight is picked up and tracked around the clock. ExpeditedFreight.com sends updates along the way, and you hear early if anything slows the run.

    Delivery and proof

The receiver signs for the freight, and you receive proof of delivery with the time and the signer's name. Keep it with the rate confirmation for your records.

Rates and the market

Check when an estimate was made before relying on it. We refresh estimates when the market moves, so the figure you plan around stays realistic.

Freight rates rise and fall with the balance of trucks and freight. When carriers leave the market or demand picks up, available trucks fill faster and prices climb. Fuel prices move costs too, because fuel is one of the largest expenses in running a truck. Seasonal peaks, weather and holidays add their own swings.

That means an estimate is a snapshot. For budgeting a few weeks ahead, leave some room for movement. For urgent freight, rely on a confirmed quote on the day.

Rule of thumb

Smallest vehicle that works

The lowest-cost option is usually the smallest vehicle that carries the freight and meets the deadline.

Choosing a vehicle Vehicle and cost

Choosing the vehicle, and what it does to the number

Every shipment we estimate rides on a dedicated vehicle or a flight, so the vehicle you need is one of the biggest numbers in the estimate. The smallest vehicle that safely carries the freight and still meets the deadline is usually the lowest-cost choice.

A Sprinter van carries up to 3,000 lbs and costs the least of any dedicated truck. A box truck takes up to 5,000 lbs, and a large straight truck up to 9,000 lbs, often with a liftgate. A hot shot carries heavy open-deck freight up to 16,000 lbs, and a 53 ft dry van takes a full load up to 42,000 lbs. When the distance is too long for any truck to make the deadline, next flight out or an air charter takes over.

Accurate weight and dimensions keep the vehicle right the first time. Estimating a truck and a flight side by side shows exactly what the faster option would cost for that shipment.

In short

Ask how, not just how far

Truck transit follows the road and driver hours. Air follows flights, cutoffs and both truck legs.

Transit Estimating transit

Estimating transit time

A dedicated truck drives straight from pickup to delivery, so its transit time comes down to the road itself. That is the key to estimating transit time.

For a dedicated truck, transit depends on distance, traffic and driver hours. A solo driver must stop to rest, while two drivers can keep going. For air freight, it depends on flight schedules, airport cutoffs and the trucks at each end.

So the same distance can mean very different transit times by mode. Asking how a shipment will move, not just how far it is going, gives a far better estimate of when it will arrive.

Why Cheap Freight Costs More: Mike Pettrey on Trust & Expedited Trucking

On this episode of On Air with AirFreight.com, host Kevin Carpenter sits down with Mike Pettrey, CEO of C&M Transport out of Painesville, Ohio — one of AirFreight.com's most trusted carrier partners and one of the oldest expedite companies in the country, now in its 35th year.

Mike shares how his father founded C&M around fair treatment of drivers and owner-operators, why straight trucks and sprinter vans became the backbone of the expedite industry, and how dedicated capacity mitigates cargo risk that traditional LTL can't. The conversation covers freight rate compression since 1991, the industry's price-driven race to the bottom, why regulatory crackdowns are (in their view) good for carriers who play it straight, and how technology — real-time tracking, proactive delay alerts — is raising the bar for customer transparency without replacing the human judgment calls that keep freight moving safely.

Freight Estimate Questions Answered

How do I get a freight estimate?

To get a freight estimate, share the basic details of the shipment with a provider: the pickup and delivery locations, the approximate weight and size, how many pallets or pieces, and when it needs to move. Many providers offer an online form, and some give an estimate by phone. The estimate gives a working figure and often a suggested mode. When you are ready to book, adding measured dimensions, scale weight, site details and deadlines turns the estimate into a firm quote you can rely on.

What is the difference between a freight estimate and a quote?

A freight estimate is an approximate figure based on the information available, such as the lanes, rough weight and timing. It is useful for budgeting and comparing modes but can change once the full details are known or the market moves. A freight quote is a firm offer to move a specific shipment on a specific date for a stated price, based on measured details. Quotes are usually valid for a short time. Shippers often start with an estimate and request a quote when they are ready to book.

How long does freight shipping take?

Freight transit time depends mainly on the mode and the distance. Shared services such as less-than-truckload move through terminals and usually take several days, longer for cross-country shipments. Full truckload moves directly but follows a scheduled pickup and a single driver's limits. Dedicated expedited trucks leave as soon as they are loaded and can use two drivers to keep moving. Air freight is fastest over long distances. Weather, holidays and pickup timing also play a part, so the provider's estimate for a specific shipment is the best guide.

How can freight transit time be estimated?

Freight transit time can be estimated by considering how the shipment will move. For shared services, look at the provider's terminal network and published transit schedules between the origin and destination areas. For a dedicated truck, consider the distance, typical traffic and whether one driver or two will be used, since a solo driver must stop to rest. For air freight, consider flight schedules, airport cutoffs and the trucks at each end. A provider can combine these into a realistic estimate for your shipment.

What is the cheapest way to ship freight?

The cheapest way to ship freight is usually the slowest service that still meets your deadline. For small, light packages, parcel shipping is cheapest. For a few pallets with flexible timing, less-than-truckload service usually costs least, because the shipment shares a truck with others. For a full trailer, full truckload is efficient. Dedicated expedited trucks and air freight cost more because they prioritize speed. Accurate details, ready freight and avoiding unnecessary special services also help keep the cost down. Asking for estimates on two modes shows exactly what the faster option would add, which makes the choice easier to justify.

Are freight prices going up?

Freight prices change with market conditions, and they have been rising in recent months. Truckload rates are higher than a year ago, driven largely by trucks leaving the market while freight volumes recover, according to industry data. Fuel prices also move costs up and down. Prices can shift again with seasonal demand, weather and economic changes. For budgeting, it is wise to refresh older estimates and allow some room for movement, and for urgent shipments to rely on a confirmed quote on the day.

What is a linehaul rate?

A linehaul rate is the base charge for moving freight from origin to destination, separate from fuel and any extra services. In trucking, it covers the main movement of the load, and industry reports often track it separately so that changes in fuel prices do not hide changes in the underlying market. In less-than-truckload networks, linehaul also refers to the trucks that run between terminals, as opposed to local pickup and delivery. For a dedicated truck, the linehaul covers driving the vehicle from pickup to delivery.

How do fuel prices affect freight cost?

Fuel is one of the largest costs in running a truck or aircraft, so fuel prices have a direct effect on freight cost. Many carriers adjust their charges as fuel prices rise or fall, often using a published fuel index, so the total price of a shipment can change even when the base rate does not. When diesel prices climb, freight estimates rise with them, and when they fall, some of the saving usually passes through. Checking whether an estimate includes fuel helps compare quotes fairly.

What is freight class?

Freight class is a standardized category used mainly in less-than-truckload shipping to price freight based on how easy it is to move. The National Motor Freight Classification system assigns classes from 50 to 500 using density, stowability, handling and liability. Dense, sturdy freight gets a lower class and costs less to ship, while light, bulky or fragile freight gets a higher class. Getting the class right matters for an accurate estimate. Dedicated trucks and air freight are not priced by freight class.

What affects freight cost?

Freight cost is affected by the distance, the weight and size of the shipment, the mode and equipment, how quickly it must arrive and any special handling, such as a liftgate or residential delivery. Market conditions matter too: when fewer trucks are available or fuel prices rise, costs go up. For less-than-truckload freight, freight class also plays a role. Choosing the slowest mode that meets the deadline, giving accurate details and having freight ready at pickup are the most reliable ways to keep costs under control.
